How the moving documents fit together

A relocation usually generates several records rather than one universal document. Keeping the quotation, inventory, dispatch, billing, payment and delivery records connected makes it easier for the customer and the mover to understand what was agreed and what happened at each stage.

Before booking

Start with the written quotation. Confirm the origin and destination, inventory or estimated scope, packing level, vehicle requirement, access conditions, selected services, applicable taxes and any optional work before the move is scheduled.

During packing and dispatch

The packing list can provide a practical inventory record, while the Bilty / Lorry Receipt can document dispatch for an intercity shipment. These records should match the actual shipment as closely as practical.

At billing and payment

The GST invoice and money receipt serve different purposes in a transaction. Keep copies with the quotation and shipment records instead of treating each document as an isolated file.

At delivery

Delivery confirmation closes the operational trail. If an employer, accounts team or insurer needs supporting paperwork, having the quotation, inventory, dispatch, invoice, payment and delivery records together can make document retrieval easier.
